1. Data We Collect

TradesIQ LLC (“TradesIQ,” “we,” “us”) collects the following categories of information:

  • Account Information: Email address, name, business name, trade type, and hashed password.
  • Uploaded Documents: Files you upload (images, PDFs, Word, Excel, PowerPoint, CSV, text files) including the extracted text, metadata, and AI-generated classifications.
  • Usage Data: Document scan counts, chat query counts, storage usage, login timestamps, and feature usage patterns.
  • Payment Information: Processed securely by Stripe. We do not store your credit card numbers.

2. How We Use Your Data

We use your data to:

  • Provide the document digitization, search, and AI chat services.
  • Generate vector embeddings of your documents for semantic search.
  • Detect and redact sensitive information (credit card numbers, SSNs, bank account numbers).
  • Send transactional emails (verification, password reset).
  • Enforce plan limits and billing.

3. Third-Party Processors

We share data with the following third-party service providers solely to operate the platform:

  • Anthropic (Claude): Document text and images are sent to Claude for OCR, classification, and AI chat. Anthropic does not use API inputs to train models.
  • Voyage AI: Document text is sent to generate vector embeddings for semantic search. Voyage AI does not use API inputs to train models.
  • Cloudflare: Provides hosting, CDN, and R2 object storage for uploaded files.
  • Resend: Transactional email delivery (verification emails, password resets).
  • Stripe: Payment processing and subscription management.

We do not sell your data. We do not share your data with advertisers or data brokers. We do not use your data to train AI models.

4. Sensitive Data Detection & Redaction

Our AI automatically scans uploaded documents for sensitive information including credit card numbers, Social Security numbers, and bank account numbers. When detected, this data is redacted from the searchable text index while the original document is preserved securely. You can review detected sensitive data flags on each document’s detail page.

5. Data Retention

  • Your data is retained as long as your account is active.
  • Upon account cancellation, you have a 30-day export window to download your documents and data.
  • After the 30-day window, all your documents, extracted data, embeddings, and account information will be permanently deleted from our systems and third-party storage.
  • Audit logs may be retained for up to 90 days after account deletion for security purposes.

6. Your Rights

You have the right to:

  • Access: View all data associated with your account.
  • Delete: Delete all your documents and data from the Settings page at any time.
  • Export: Download your documents and extracted data.
  • Correct: Edit extracted metadata on any document.
  • Opt Out of Sale: We do not sell your data, so there is nothing to opt out of.

7. State Privacy Law Compliance

Maryland Online Data Privacy Act: TradesIQ complies with the Maryland Online Data Privacy Act. We do not sell personal data, do not use it for targeted advertising, and provide the access, deletion, and correction rights described above.

California Consumer Privacy Act (CCPA): California residents have additional rights under the CCPA, including the right to know what personal information is collected, the right to delete, and the right to opt out of the sale of personal information. 8. Security

We implement industry-standard security measures including AES-256-GCM encryption for stored OAuth tokens, bcrypt password hashing, row-level security in our database, httpOnly cookie-based authentication, and TLS encryption for all data in transit.

9. Children’s Privacy

TradesIQ is not intended for use by individuals under 18 years of age. We do not knowingly collect personal information from children.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes via email. Continued use of the Service after changes constitutes acceptance of the updated Privacy Policy.
